How Event Storage Works, From Setup to Load-Out

Every event has the same awkward middle. Gear arrives for weeks beforehand and has to go somewhere, then all of it has to disappear at load-out while everyone is tired. Tables, chairs, linens, signage, décor, sound equipment, donation boxes. A 16-foot (8×8) container gives that gear a lockable home on the ground where the event happens — filled ahead of the date in the order you will want it out, and emptied back into the same box when the last guest leaves.

How you use the container for an event

  1. Book around three dates, not one. Call for a free estimate with your setup day, event day and load-out day. Those dates decide whether the container sits at the site the whole time or comes from our yard for the week of.
  2. Load it as gear arrives, last-in-first-out. We deliver the clean, dry 16-ft (8×8) container to the property or the venue’s drop spot, and everything that has been piling up in an office, a garage or a hall goes in as it comes: rentals, purchased décor, signage, raffle items. Pack it in reverse order of setup, so the tables and the staging that go out first are nearest the doors.
  3. Use it as back-of-house on the day. With the box on-site and locked, it is where the empty crates, the spare linens, the ladder, the cables and the boxes go instead of stacked behind the bar or in a bedroom. Anything valuable goes back in and gets locked between sessions.
  4. Load out into the box, not into ten car trunks. At the end of the night everything comes down and goes back in the container in one sweep, so the venue is clear on time and the sorting happens later in daylight.
  5. We take it away — or hold it until the next date. Call and we collect the container. If your gear runs on a season of dates, the loaded box can go to our West Deptford warehouse between events and come back for the next one. You never tow or move the container yourselves.

What belongs in the box for an event

Load it with the event, not the house: folding tables and chairs, linens and table settings in bins, centrepieces and décor, arches and backdrops, signage and banners, lighting and cabling, speakers and AV cases, coolers and drink tubs, marquee sides and stakes, vendor and booth gear, raffle and auction items, giveaway boxes, and the everyday furniture you have to pull out of the house to make room for sixty people.

Keep out of the container: anything illegal, plus flammables and fuel, propane tanks, perishable food, plants and pets — which at an event specifically means the patio heater tanks, the generator fuel, the catering food and the floral arrangements do not go in the box. The container also cannot be modified: no racks, hanging rails or hooks fitted inside for garment bags or banners, no drilling, no wiring, so plan on portable rails and bins.

On-site or West Deptford around the event dates

Keep it on-site through the setup, the event and the load-out. That is where the container earns its place — a locked store a few steps from the tent, so volunteers are not driving anywhere and gear is not left out overnight.

Send it to our West Deptford warehouse when there is a gap: gear collected over months before the date, a craft or vendor circuit with weeks between shows, community and seasonal equipment that comes out once a year, or a venue with no room for a container until the day before. We hold the loaded box at 1152 Crown Point Road, West Deptford and deliver it for the next date. If the drop is at a venue rather than a home, confirm placement with the venue and give us the address and the spot when you call.

Optional packing and loading

Events run on volunteers, and volunteers run out. You can load at your own pace over the weeks before the date, or add optional packing and loading — useful for the pre-event push when boxes have been accumulating in three different homes, or for the load-out at midnight when the committee has already worked a fourteen-hour day. Ask when you call for your estimate.

$125 a month — call to schedule

Portable storage is $125 per month, which for a single event usually means one month, and for a season of dates a longer short-or-long-term rental.
